Admin & Stock Control Team Lead
Port Shepstone – KwaZulu Natal – South Africa
The successful candidate will be responsible for both administrative tasks and the management of inventory levels within a company (procurement, distribution, invoicing, stock control, stock takes, etc), leading a team to ensure accurate stock records, efficient ordering, and smooth operational flow, often involving tasks like data entry, stock checks, reporting, and coordinating with other departments to maintain optimal inventory levels.
Overseeing administrative tasks, reporting and payment processing, assist in departmental helpdesk, after hours standby and building lock up.
Key responsibilities may include:
Stock Management:
- Conducting regular stock checks and cycle counts to maintain accurate inventory levels.
- Monitoring stock levels to identify potential shortages and initiate reordering.
- Analysing sales data to forecast demand and optimise stock orders.
- Managing stock movement between stockrooms and departments.
Administrative Tasks:
- Maintaining detailed stock records and reports using inventory management systems.
- Processing payments and supplier invoices.
- Coordinating with suppliers to ensure timely delivery of stock.
Team Leadership:
- Supervising a team of Stock controller (s), Administrator (s) and GSE staff.
- Assigning tasks and delegating responsibilities to team members.
- Monitoring team performance and addressing any issues.
Skills and Qualifications:
- Strong analytical and problem-solving skills
- Ability to work independently and as a team
- Excellent communication, writing and presentation skills
- Excellent attention to detail and accuracy
- Highly organised
- Excellent communication and interpersonal skills for collaboration with different departments
- Leadership experience and ability to motivate a team
- Knowledge of purchasing procedures and supplier management
Person requirements:
- Matric with a minimum of two years admin experience
- Above average computer skills – Excel, Word etc
- Knowledge of Pastel will be an advantage
- Experience in bookkeeping/accounting environment will be an advantage
- Driver’s licence and own transport essential
- Knowledge of isiZulu will be an advantage
- Knowledge of general maintenance for standby duties would be an advantage
